To begin a reservation...

From the "Main Menu" click on "Start a New Trip" below the RESERVATIONS header.  This will take you to the Booking Options page.

Trip Name – This is where you name your trip. Use a name that will help you identify the trip later if you want to use it as a Template, or need to reference the reservation. Something like "Memphis Sales Trip". The default name is the server date and time this trip was created.  Click the Change Trip Name link to name your trip.

Click on the appropriate icon to begin creating the reservation.  Add Air, Rail, Car or Hotel. (Note: Always start with the airline portion of your trip.)


To book your Airline reservations

Click on the Add Air icon.  This takes you to the Air Travel Page…

Each flight that you enter is one-way only, including necessary connections.  The maximum number of destinations the system allows in one reservation is four.  If you need more destinations, you must create a new trip.

Enter the following information (these are required fields except as noted):

Travel Date - You can enter the date of travel, or click the calendar icon to the left of the date field to bring up a calendar.  The calendar will be interactive - you can click a date to enter it in the field.  The system accepts a variety of date formats such as: 3/10, 3-10, 10mar, March 10.  The date selected must not be more than 330 days from today's date.

Time - You can enter the ideal time for the flight to depart or arrive (check the box to the right for arrival).  Examples: 8a, 8:00AM, 1pm.  If you do not specify AM or PM, the system will default to AM.  Times based on a 24-hour clock are also valid.

Arrival?  - Click the box to add a check mark if the time you specified is when you want the flight to arrive.

Departure City  - Enter either the name of the city or the airport or city code where travel will start. If a city has more than one airport, the system will display a drop-down list box from which to select on the next screen.  On return flights, this is an optional field.  If left blank, the system will assume you are departing from the same airport you arrived at.

Arrival City - Enter either the name of the city or the airport or city code where travel will end. If a city has more than one airport, the system will display a drop-down list box from which to select on the next screen.  On return, this is an optional field.  If left blank, the system will assume this is a round trip and return you to the original Departure City. 

Note: For round trips, you can leave the return legs blank and the system will return you by the same route you took to your destination.
 

The following items are optional checkboxes - Click the checkbox to insert or delete a check.

Accept Connections - A check inside the box indicates that the traveler will accept connecting flights.

Accept Penalty Fares - A check inside the box indicates that the traveler or company will accept a ticket with penalties. Most travelers actually want penalty fares, which generally mean non-refundable tickets. If you do not check this box you will only see refundable fares which are always more expensive than non-refundable fares. Unless you only want to use refundable tickets, check this box.

Use Preferred Airlines - A check inside the box indicates that the system will search airlines designated as preferred in the Traveler Profile or that appear as preferred airlines on this screen.

Apply Excluded Airlines - A check inside the box indicates that the system will exclude specific airlines from searches.  The airlines are designated as excluded in the Traveler Profile or appear as excluded airlines on this screen.

Alternate Fare Search with Multiple Airports - A check inside the box indicates the system will look for the best fare to a destination with multiple airports.  If you request options to La Guardia Airport in New York, for instance, options may also be displayed for JFK and Newark.

Search Schedules - A check inside the box indicates that the system will search for and display all schedules, even those of nonparticipating carriers or otherwise unavailable.  (This box will only appear when using Quick Flight Schedules.)  Note: Worldspan does not allow searching for nonparticipating carriers as preferred airlines.

Optional Fields - To specify default settings, click View or Edit Traveler Profile under the Traveler section on the Main Menu, and click Air Preferences.

Time Window - Enter how much earlier or later than the specified time the traveler is willing to leave as hours: minutes.

Class of Service - Click the drop-down arrow and click Coach/Economy, Business, or First class.

Passenger Type - Click the drop-down arrow and select a passenger type if you qualify for special airfares.  If not, select none.

Number of Custom Options - Click the drop-down arrow and select choose whether you want the system to display the default number of custom flight options at availability, or twice or three times that number of options.

Number of Travelers - Click the drop-down arrow and select a default number of travelers including you who will be included on an air itinerary when you book a trip.

Create Travel Companion - Click this link to go to the Travel Companion Profile screen where you can set up a new travel companion.

Preferred Airlines - Click the drop-down arrow and select an airline from the list of available carriers. You can select up to three preferred airlines.

Excluded Airlines - Click the drop-down arrow and select an airline from the list of available carriers. You can select up to three airlines to be excluded during processing of requests.

    Click Continue to see your available choices, or click Reset to start from scratch.

 

To book your rental car...

Click on the Add Car icon.  Once on the Car Booking page….

Use this screen to request a rental car.  (If you have already confirmed air reservations in this itinerary, the program will input your arrival and departure times, which you can edit in regard to your car reservation, if needed.)

Enter or edit the following information:

Pick Up & Drop Off Date -You can enter the date you want to pick up the car or click the calendar icon to the left of the date field to bring up a calendar.  The calendar will be interactive - you can click a date to enter it in the field.  The system accepts a variety of date formats such as: 3/10, 3-10, 10mar, March 10.  The date selected must not be more than 330 days from the current date.

Pick Up & Drop Off Time - You can enter the ideal time to pick up the car.  The system accepts a variety of formats such as 3p, 3:00p, 3PM.  If you do not specify AM or PM, the system will default to AM.  Times based on a 24-hour clock are also valid.

Pick Up & Drop Off Location - Enter the airport or city code (if known), or spell out the city or suburb where you will pick up the car.  At this time you can only rent at airport locations.  Off airport locations are not supported.

Use preferred car companies - Click the box to insert or delete a check.  A check indicates that you want to search only car companies designated as preferred in the Traveler Profile in addition to companies with contracted rates.

Quick Sell Contract Car - Click the box to insert or delete a check.  A check indicates that you want to bypass availability and automatically reserve a contract car.

Car Type (optional) - Click the drop-down arrow and select another option to change the type of car.  If there is no drop-down arrow, then you cannot change the car type.

Car Rate - Click the drop-down arrow and select a car rate code if you qualify for special car rates.  If not, select None.

Special request to car company - Enter special requests you have, such as air bags, non-smoking, etc. in addition to requests specified in your Traveler Profile, which will automatically be submitted.  Car companies cannot always confirm special requests; they can only attempt to honor them.
 

Car Reservation Options -

Use credit card for guarantee, if required - Click the box to insert or delete a check.  A check inside the box indicates that you are willing to use a credit card to guarantee a car reservation.  Choose the credit card to be used below.  –

Preferred Credit Card - Click the drop-down arrow and select the credit card to be used to guarantee the reservation.  If you want to add a credit card to the list, you can add one by going to the Credit Card Information page in your Traveler Profile.

Note: Some car rental companies have very restrictive cancellation policies. Be sure to review the company's cancellation policy to avoid unnecessary charges.  -

    Click Continue to submit your request for processing, or click Reset to start over.

 

To book your hotel room...

Entering a Hotel Request

If you have already reserved flights, the hotel availability fields will contain information relating to that reservation which you can edit.  To change the dates and city, delete and re-type them.

Check-in Date & Check out Date -You can enter the date you will check into the hotel, or click on the calendar icon to the left of the date field to bring up a calendar.  The calendar will be interactive - you can click a date to enter it in the field.  The system accepts a variety of formats such as 3/10, 3-10, 10mar, March 10.  The date must not be more than 330 days from the current date.

City - Enter the city and state, the airport code, or the city code in which you want to stay.

Search Criteria

Search by Reference Point - Click the drop-down arrow and select whether you want to search using the city center or airport as a reference point or you have the option to request a list of all available reference points.  If you do not want to search by reference point, select "(None)".

Zip Code - Enter the zip code of the area in which you want to stay.  Please note if there are no hotels in that specific zip code, no properties will come up.

Search by Hotel Name - Enter the hotel name or a portion of a hotel name (Plaza, Towers, Inn, etc.), and the system will display only hotels with names containing those words.

Search list box - Select one of the following availability search options from the list box on the right:

    Search All Hotel Chains - Searches all hotel chains for availability.

    Search Preferred Chains - Searches only those hotel chains set as "Preferred" in the Traveler Profile for availability.  If no preferences are specified the system searches all hotel chains.

    Individual Hotel Chain s - Searches up to three specific hotel chains at one time for availability.  To select more than one hotel chain, click the chain name with your mouse while holding down either your Control key to select individual names or the Shift key to select a range of names.  Note: If you are using a Macintosh, the keys used are Shift and Command.  If you are using another platform, such as UNIX, consult your computer manual.

Hotel Reservation Options

Preferred Credit Card - Click the drop-down arrow and select the credit card to be used to guarantee the reservation.  If you want to add a credit card to the list, go to the Main Menu/Traveler Profile/Credit Card Information/Enter New Credit Card.  Note: your card will be charged immediately if a deposit is required.

Non-Smoking Room - A check inside the box indicates that you are requesting a non-smoking room.  If you want a smoking room, click the check box to remove the check.  You can also pre-set this preference in the Traveler Profile.

Special Request to Hotel - Enter special requests that you have, such as "quiet room" or "need fax machine" in addition to requests specified in your Traveler Profile, which will automatically be submitted. 

Hotels cannot always confirm special requests; they can only attempt to honor them.

When all of the information is correct, click Continue.  To clear the fields and start over, click Reset.

 

After Your Itinerary is Complete…

Your completed itinerary will be displayed; from this screen you can do any of the following:

  • Purchase your airline ticket and submit your reservation for ticketing by clicking on "Submit For Purchase"
     
  • Make any changes necessary to your itinerary before the ticket is issued by clicking on "Modify Trip"


Modifying Your Trip

Use this page to select how you want to change your itinerary:

Cancel Entire Trip - Cancel all reservations in an itinerary simultaneously.

Modify or Cancel Air Flights - Modify air reservations in an itinerary, or cancel individual air segments.

Cancel All Air Flights - Cancel all air reservations in an itinerary simultaneously.

Cancel All Rail Reservations - Cancel all rail reservations in an itinerary simultaneously.

Modify or Cancel Car Reservations - Modify car reservations in an itinerary, or cancel individual car reservations.

Cancel All Car Reservations - Cancel all car reservations in an itinerary simultaneously.

Modify or Cancel Hotel Reservations - Modify hotel reservations in an itinerary, or cancel individual hotel reservations.
